Overview

What event production & AV is, and when it works

Event production is the technical build behind a show — stage, truss, rigging, LED walls, lighting, sound, power and the crew who run it. It covers the drawings and load calculations before the event, the overnight build, the show-day operation from a console, and the dismantle. For most launches and dealer events it is the single largest line in the budget after venue.

An audience forgives a modest stage but never forgives sound they cannot hear or a screen they cannot read. Production decides whether your content lands at all, which is why it is specified from the back row inwards: sightlines and audibility at the worst seat set the rig, and the rig sets the budget — not the other way round.

Who it reaches

Marketing and events teams running launches, dealer meets, conferences, award nights and concerts where the technical build is the show.

Best suited for

  • Product launches where the reveal depends on a timed light and screen cue
  • Dealer and channel meets with long content segments and award presentations
  • Conferences needing reliable audio across a wide or low-ceilinged room
  • Award nights and galas with a programmed show flow
  • Outdoor shows where power redundancy is the main technical risk
  • Any event where the content team needs rehearsal time on the actual rig

Investment

What event production & AV costs in India

Indicative investment

₹1L – ₹50L per event

Indicative pricing for event production & AV is ₹1L – ₹50L per event, exclusive of GST at 18%. It is a planning band, not a quotation — the variables that actually move it are venue-days, team size, how custom the build is, and venue or permission fees.

Formats

Event Production & AV formats we run

Stage, truss and rigging

Modular stage decks, goal-post or ground-support truss and rigging, specified against a load calculation for the venue's roof or floor rating.

LED walls and projection

Indoor and outdoor LED panels selected by pixel pitch and viewing distance, or projection where the surface and ambient light allow it.

Lighting design

Wash, spot, beam and profile fixtures plotted to a lighting plan, with a programmed cue list rather than lights operated by feel on the night.

Sound and line array

Line-array or point-source systems sized to room volume and head count, with delay towers where the room is long and monitors for anyone on stage.

Power, backup and distribution

Load calculation, DG sizing with redundancy for the show-critical path, and distribution so a single failure cannot dark the stage.

Show calling and crew

A technical director, console operators and stagehands running a written cue sheet, with rehearsal time built into the schedule rather than borrowed from it.

What 3 days of event production & AV actually costs

Take a 3-day event production & AV programme in a tier 1 metro, staffed with 12 people (6 technicians, 2 supervisors and 4 housekeepings), running at a weekday lunch-and-evening window in a tech park. Here is the direct cost, computed at tier 1 rates rather than estimated.

Process

How we run event production & AV

  1. 01Days 1-5

    Technical recce & drawings

Measure the venue, confirm roof and floor load ratings, power availability and access routes, and issue stage, rigging and lighting drawings for approval.

  2. 02Days 5-10

    Specification & load calculation

Fix the equipment list against sightlines, room volume and head count, and sign off the electrical load with redundancy on the show-critical path.

  3. 0324-48 hours before

    Build & focus

Overnight build, rigging checks, lighting focus and audio tuning in the room, finished before the content team's rehearsal call.

  4. 04Show day

    Rehearsal & show

Technical and full-run rehearsals against a written cue sheet, then the show operated from console by the same crew that rehearsed it.

  5. 05Same night or next morning

    Dismantle & handover

Strike, venue condition check and handover against the inventory, inside the window agreed with the venue to avoid overstay charges.

Timing that changes the result

Demand and response peak around November to February — venue and crew availability tightens sharply. Book teams, venues and fabrication early for that window, because vendor pricing moves with it.

Measurement

What gets reported, and how

Every campaign reports the same way: attendance against roster, geo-tagged and time-stamped photographs per venue, contacts engaged counted on the capture tool rather than estimated, and leads verified by callback before they are counted. Weak locations show up in the first week, which is the only point at which they can still be fixed.

FAQ

Event Production & AV FAQs

What is event production & AV?+

Stage, truss, LED walls, lights and sound production.

How much does event production & AV cost in India?+

Indicative pricing is ₹1L – ₹50L per event. The variables that actually move a quote are the number of cities and days, team size, how custom the build is, and venue or permission fees. Tier 1 metro day rates run above tier 2. GST applies at 18%.

Which cities do you cover for event production & AV?+

70 Indian cities, covering every tier 1 metro and the major tier 2 markets, each with a local team rather than a travelling one.

What is included?+

Typical deliverables are stage & truss, LED walls, lighting and sound. Measurement covers build completed and signed off before rehearsal call time, audibility and sightline check passed at the furthest seat and rehearsal hours delivered against the schedule.

How is the LED wall size decided?+

By viewing distance and pixel pitch, not by how large the stage looks. The furthest seat sets the minimum pitch, and the content aspect ratio sets the panel count. A wall that looks impressive from the console can be unreadable from row twenty.

Do you handle power and backup?+

Yes. The technical recce includes a load calculation, and the specification sizes a DG with redundancy on the show-critical path so a single failure cannot black out the stage. Earthing and load are checked before power-up.

How much rehearsal time should the schedule allow?+

Enough for a technical run and one full run on the actual rig. The most common cause of a show-day fault is a build that finished late and ate the rehearsal, so rehearsal is scheduled first and the build works back from it.
